Job Summary

This role requires good organizational / coordination skills with all engineering disciplines.  The principal role of the 3D CAD Administrator is to:-    

  1. Plan, define and implement AVEVA E3D/PDMS Global set-up for Yinson including all subsidiaries;
  2. Define software and hardware needs for AVEVA E3D Global solution, interact with IT team for set-up of license server, global servers (hub and satellites) for Yinson internal users and sub-contractors. Responsible for software updates;
  3. Establish and maintain catalogues and specifications for projects;
  4. Maintain and distribute 3D technical information for internal users in Yinson and external users within the Global environment, e.g. export to other systems (DGN, DWG, STP, Navisworks, etc.);

The incumbent will be responsible to provide financial, administrative support by ensuring payments are completed and expenses are controlled by receiving payments, processing, verifying and reconciling invoices according to established policies and procedures in an efficient, timely and accurate manner.

Project Accounting Strategy and Planning

  • Works closely with the team to revise strategies, policies and procedures in Accounts Payable activities, providing technical advice and review on the current work flows to improve efficiency during reconciliation and reporting process

 

Project Accounting Management and Execution

  • Manages the accounts payable ledgers to ensure accurate identification of overpayments, deductions and adjustment of invoices
  • Monitors payments to vendors through purchase orders resolution, contracts, invoice or any payment discrepancy/documentation
  • Reviews invoice data in ERP system through verification of entries against all the relevant documents
  • Performs in-depth vendor payment analysis to properly record actions required to resolve irregularities to invoices as well as activities involving tracing errors
  • Responsible for resolving complex escalated vendor issues (e.g. delay in payments) and identifying vendor invoice discrepancies and initiates dispute resolution process

About the Job

The Senior Cost Controller is required to ensure that the cost control function during project execution are developed, monitored and executed in accordance with company corporate standards. It is mandatory that the Senior Cost Controller is familiar with FPSO EPCCI activities in order to perform the role and lead the cost control team.

 

Key Duties & Responsibilities

Cost Control

  • Ensure all cost control standards, procedures and processes adhere to corporate guidelines from tendering, pre-award to project execution and completion phases.
  • Develop project specific cost control procedures based on project requirements.
  • Set up and maintain the CBS (cost breakdown structure) based on project execution strategy and project requirements.
  • Liaise with site quantity surveyors on re-measureable cost updates.
  • Ensure all vendor commitments and actual costs are up to date and aligned with the project cost breakdown structure coding.
  • Ensure all intercompany invoices are captured in IFS system.

Cost Reporting

  • Prepare and update the project cost report ensuring all cost changes and movements are tracked and supported with documentation as per reporting calendar.
  • Review, analyze and forecast the ETC (Estimate to Complete) and  EAC (Estimate at Completion).
  • Liaise with project management team for project status updates and to validate monthly forecasting.
  • Prepare and update the monthly cash flow for submission to the Corporate Finance.
  • Maintain and update the man power plan including manhour reporting.

Variation Orders

  • Evaluate cost impact on variation order requests from contractors and to client.
  • Ensure all variation orders are captured into the cost report and forecasts.
  • Maintain and update the variation order registers for Client and Contractor.
  • Anticipate potential VORs to input to forecast.

IFS ERP Cost System

  • Set up, maintain and control the Project Cost Data inside IFS ERP system.
  • Create purchase requests and performing good received for internal company billing.
  • Ensure all purchase orders and payments flow from Procurement and Finance Module into the Project Cost Module.
  • Provide guidance to project team on purchase request creation and receiving goods.
  • Liaise with IFS team for system errors and issues.

Tender Support

  • Provide tender support to develop CAPEX estimates for business development prospects.
  • Develop and maintain historical data for EPCCI norms for use in bid proposals and future bench marking initiatives.
