Corporate Document Controller
Key Responsibilities
- Manage the document management plan and update it, as needed.
- Manage organizational documentation through the document life cycle.
- Maintain organizational documents and the document management system.
- Work with inhouse departments to Identify and investigate the need for documents of various types.
- Ensure that organizational documents go through a documented and approved review-and-approval process before being stored. (Management of Change)
- Ensure the security, accessibility, and proper distribution of organizational documents.
- Help develop and enforce documentation design, review, and storage guidelines with the IT security manager, assign/approve user privileges.
- Plan and conduct meetings and presentations related to document management.
- Able to create document fixed formats for templates.
- Maintain updated records of all approved documents and their distribution clearly.
- Work with business departments to put in place a Management of Records system to compliment the Document Management system and meet ISO 9001 requirements.
- Controlling the forms used to record data onto records and ensuring the records stay controlled as they are used, stored, and preserved.
- Shall be responsible for all duties necessary to create, edit, review, upload, copy, scan etc. to ensure Document Management is functional and successful.
- Owner, manager and controller of Company Document Management System
- Liaise with IT services and business departments to manage the respective process documents.

- Having high attention to details and be able to quickly identify problems and coordinate solutions.
- Self-motivated, proactive and able to take responsibility for own actions.
- Make good administrative decisions and ensure that solutions are properly implemented.
- Have a strong user knowledge of Adobe Acrobat / PDF.
- Have a strong user & technical knowledge of Microsoft Office Word, Excell, Power Point etc.
- Knowledge of Sharepoint or similar Electronic Management Systems is a plus.
Education / Experience
- Diploma/degree in a technical subject.
- Previous work as an administrator or Document Controller in a corporate environment is desirable.
- At least 5 Year(s) of working experience in the related field is required for this position.
