Projects Administrator


  • Maintaining, creating and filing of documents in Microsoft applications for letters & Memo
  • Filing letters sent
  • Adhoc Presentation development
  • Adhoc Org chart and process diagram creation
  • Document control of all projects related documents
  • Taking Minutes of Meeting as required by SVP Projects
  • Making/Processing SVP Projects (SVPP) Expense claims
  • Briefing, events, team builds & Training Session related:
    • Organizer for projects department sessions, team builds and events
  • Flight booking
    • Assist in request and changes of flight from projects team from time to time
    • Arrange hotel and transport arrangement for the team
    • Arrange meeting room with facilities for events
    • Arrange and break time sessions during the events
    • Verify, Scan, Assist to get signatory for invoices relating to events
  • Coordinate with Legal for C.A. templates
  • Coordinate with the various department to input data into the org chart
  • Ensure Confidentiality Agreements are signed by all parties and scanned thereafter to be submitted to procurement and legal
  • Coordinate and update all department Job descriptions
  • Coordinate and update Department Intranet pages
  • Update RFQ Database as required
  • Submission of CA’s to Legal department
  • Assist in compiling projects personnel data for any Visa Application
  • Adhoc assisting SVPP to input data in spreadsheet, Word, PowerPoint, Visio
  • Adhoc assisting SVPP to create tables in preparation relating to projects
  • Adhoc administrative assistance to SVPP
  • Maintain and track traveler flight/hotel booking data in excel spreadsheet, common drive for easy reference
  • Ad hoc administrative assistance to managers and engineers as and when required
  • Verify incoming related invoices
  • Compile travel request forms and invoices to submit to Finance
  • Compile monthly traveler invoice to be submitted to individual traveler for business
  • Travel as required, including but not limited to module yards & shipyards in SE Asia region, China, Middle East region, other Yinson Offices/worksites (Oslo, Malaysia, Africa, North/South America) and production units (offshore wherever they may be in the World



  • Diploma in a Semi-technical subject OR Good Secretarial Certificate
  • Degree qualified in a technical subject is an added advantage
  • Good use of Word and Excel
  • knowledge in using PowerPoint, Visio, and document control is an added advantage
  • Relevant experience in dealing with people
  • Memo writing
  • MOM writing and Procedure writing is desirable skills
  • Team player and self-motivated (excellent people skills is an added advantage)
